Jubilarian Guidelines
The USTMAAA ANNUAL GRAND REUNION and MEDICAL CONVENTION is a GATHERING of all medical alumni in America. It is an exciting and enjoyable occasion and an opportunity to reunite and reminisce with classmates and old friends. It is especially organized for alumni celebrating their MILESTONES. An evening during the convention is scheduled to HONOR the JUBILARIANS. In turn, the JUBILARIAN CLASSES have the opportunity to SHOWCASE their talents as a class and to entertain the rest of the alumni attendees.
Below are the GUIDELINES to assist the Jubilarian Classes prepare for their reunion and make the event a memorable one
Prior to the Convention
The Jubilarian Class President/Representative must arrange CLASS REUNION DINNERS or other class outings. If planning a CLASS DINNER at the CONVENTION HOTEL, to reserve for a banquet room, please contact the USTMAAA CONVENTION DIRECTORS, Dr. Zita B. Yorro, at yorrozita@gmail.com or call her at (847) 477-3266 or Dr. Stella S. Evangelista at stellaevangelistamd@gmail.com or call her at (248) 895-5224. They will put you in contact with the hotel convention/catering manager to plan your event and set up your own class account with the hotel. Your food and beverage expenses will be credited towards the FNB allowance of the USTMAAA that will help meet our contractual obligations with the hotel.
A JUBILARIAN CLASS REPRESENTATIVE should be appointed by the class to be the LIASON between the Class and USTMAAA.
It is strongly recommended that an UPDATED CLASS DIRECTORY, preferably an electronic directory, be sent to the USTMAAA Executive Office so that ALL CLASS MEMBERS can receive timely convention brochures and other electronic announcements leading up to the convention. Your list may be sent via email to ustmaaa@ustmaaamerica.org or faxed to (248) 626-3918.
It is strongly recommended that jubilarians register at the convention hotel and take advantage of the discounted room rates and the convenience of just being around the corner from the sites of events. It is also strongly recommended that as many of the class functions be held in the convention hotel in order to help the USTMAAA meet its contractual obligations with the hotel that are entered into to benefit all the attendees. Moreover, the USTMAAA can help facilitate and enhance class functions and negotiate favorable terms with the hotel.
Presentations
1. A SPECIAL PRESENTATION by each Jubilarian Class is strongly encouraged but is OPTIONAL.
ONLY ONE (l) presentation will be allowed per Jubilarian Class.
It should have at least TEN (10) PARTICIPANTS
It is STRICTLY LIMITED TO TEN (10) MINUTES or less, including entrance and exit. The maximum of 10 minutes will be strictly followed because of the number of Jubilarian Classes that will be honored.
Please submit the DETAILED PLANS OF YOUR SPECIAL PRESENTATION, what music you will be using and the title of your presentation. We are trying to avoid duplications. The digital music (CD) should be submitted no later than two (2) weeks before the convention for inclusion in the computer that will be used for the audiovisual presentations.
2. There will be a GRAND PARADE OF JUBILARIANS by class at the Gala Night.
Each Jubilarian Class should bring their CLASS BANNNER to identify their class during the parade.
There is NO LIMIT to the number of participants. Even a SINGLE marcher is allowed to represent his/her class.
This will be STRICTLY a MARCH ONLY and not a MARCH/PRESENTATION.
The class should submit the digital March Music (CD) that is no longer than three minutes no later than two (2) weeks before the convention for inclusion in the computer. If no music is submitted, USTMAAA will provide one for the class.
There will be NO ROLL CALL of individual graduates during the march or the presentation.
3. So that your CLASS SPECIAL PRESENTATION will be incorporated in the Convention Program, please submit to the Overall Jubilarian Coordinators/Committee no later than June 10, 2019 the following:
NAME ADOPTED BY THE CLASS. Please inform the Overall Jubilarian Coordinator ASAP to avoid duplication. Some classes have had their adopted names since a little after graduation and so their ADOPTED NAME is UNIQUE for their class. This is also to avoid the expense of replacing a Class Banner. I will be sending to you the list of adopted names chosen by various classes.
Approximate number of Attendees (IMPORTANT - Please send this ASAP so that enough rooms can be blocked)
The theme, type and music the class will be using for their special presentation
4. REHEARSALS ON SITE can be scheduled based on Room Availability. For this, each class representative/contact person is expected to:
Submit a rehearsal request to USTMAAA@ustmaaamerica.org ASAP before the convention. On site requests will not guarantee the class a room. Please wait for the schedule and room confirmations from the office before you make your announcements to your class.
Bring your own "Boom Box" or CD player/recorder and your CD/music for your class presentation, a digital copy of which should be submitted to the Jubilarian Committee at least two (2) weeks before the convention.
All members of the class should bring their own bottled water or refreshments.
A request for a piano is not guaranteed. Extra mikes to be used should be made way ahead of the occasion. Any cost incurred for this additional equipment is the responsibility of, and shall be passed on to, the class.
Reminders
Reserve your hotel room ASAP as blocked rooms are limited and additional rooms may not be available at the discounted convention rate.
Pre-register for the different events, as seating is limited. On-site registration does not guarantee a seat and it is subject to availability of space. If space is available, priority will be given to those who are registered at the hotel.
Let us make your jubilee a memorable one for you.
We are trying to make the program as interesting, and as fun-filled as possible and yet ALLOW AMPLE TIME for public dancing. Speeches are kept short and to a minimum number.
